Prevent accidentally saving over template - MTer

Posted: May 10, 2015

I have tried to train my brain to use Save As to prevent saving over my templates but I still save over them all too often.  I am using Instant Text but still don't have shortcuts for a lot of my doctors in there yet.  Any advice is much appreciated.

Easy ... stop using "save." - sm

I had the same problem with saving over things.

The underlying problem is in the way you think about "save." That is the word we use for saving anything, from leftovers to files. We THINK in terms of "save." "Save" is our FIRST choice because ... why? It matches what we use for leftovers? It is first in the list? It is one word?

That is the problem ... "Save" is our first choice, while "save as" is our second.

As long as you think that way, you will have to remember to stop and choose "save as" as the EXCEPTION TO THE RULE. That is never going to work. You will be flying along, mindlessly hitting "save," "save," "save," and then saying "Oh, darn. I did it wrong AGAIN!"

Trying to train your brain to remember an EXCEPTION is not very effective. As long as you think in terms of always "saving" EXCEPT when you remember NOT to, you will have trouble.

The cure is fairly simple. Set things up so that "save" is the exception to the rule. Instead of thinking "save" for everything, simply stop using save for ANYTHING.

I do not ever use "save" first. I think in terms of "save as" and use "save as" as my default. I ALWAYS choose "save as." That way, the software presents me with a dialog box asking me for the new file name. At that point, I enter a new name.

You can always save an original from the "save as" dialog box. It just requires another step. You can also stop, exit the dialog box, and then choose "save."

That is the cure, though. Stop thinking "save" while trying to remember TO "save as." It won't work. Instead, simply stop using "save." Use only "save as." Think "save as" and let the software do the work of remembering.

Not easy - MTer

but thank you for the suggestion. I have lost several, several files over the years and constantly hit Ctrl+S so as not to lose my file. Nice thought but don't think it will work for me.

OK, so you are talking about autosave, then. - sm

Set your software's autosave function to a more appropriate length of time, like every minute or two. It saves to a different location than the original, so it will not overwrite it. Then, when you go to save for good, use only "save as." If the electricity goes off, find the document that was automated.

If you do that, you don't have to keep pounding ctrl-s all the time.

Chances are that your software has been autosaving all along and you were interfering with it by using ctrl-s.

If that won't work for you, simply make a rule that you must rename the file WHEN YOU RETRIEVE THE TEMPLATE. Do not wait.

I would encourage you to get more templates - sm

into Instant Text. I have all of mine that way, and it makes it really quick. I just put each dictator in there as I do his/her report. It only takes a few seconds, and then I can go back and tweak things as needed. This is really the only way I save templates now.

I Accidentally Deleted Alt+A, Add To Dictionary.
May 16, 2011

I was working on some macros and needed a command for changing text to Arial 11.  I'm thinking "hmmmm, Arial, A." Let's make it Alt+A.  Does it tell me that's already assigned to something?  Nooooooo.  I totally forgot it's part of the spell checker commands.  So now, when I do spell checks, I don't have the option to add words to the dictionary.  How do I get Alt+A back to it's original state?  I deleted the macro I'd made, ...

My Doctor Accidentally Encrypted His Dictation
Sep 04, 2014

Hi I posted this once but not sure if it went through.  I use Olympus Transcriptoin Kit and can usually transcribe any type of voice file by dragging it into the system.  One of my doctors accidentally encrypted his dictation and now my transcription module asks me for a password to decrypt it.  The problem being of course he doesn't even know how he did that and I am not sure how to get this encrypted from here. I don't think I can do it on my end and to ask him to figu ...

Changes Made To ASR Not Saving
Mar 01, 2015

Aside from erasing the ASR text and typing the entire report myself, how can I know that the system is saving my changes? I am absolutely certain that changes I made are not being saved, and thus showing up as errors on QA reports. Some of which I am absolutely 100% certain I corrected the text, but alas the corrections are not saving. So, once again, I am completely off the grid. Perhaps I should do a Control-J on enterprise to check the text? Should I do Control-S to save and then do contro ...

ASR Not Saving Problem Found By IT
Mar 02, 2015

To those following. It turns out on windows last update, it snuck some add-on in that was possibly interfering with saving changes to my reports. When IT took that add-on off, the system started saving my changes correctly again. Because I am very certain the 'error' that I got a 3.0 CPSE for I did change but the change did not save, I am thinking of bringing this up with my TSM. They want us to update windows for security reasons, and so I do. I did not know that windows can sneak i ...

Template Use.

QA Inbox After Midnight/spellcheck Not Saving
Feb 28, 2015

Hello, Well at 12:08 a.m. on 02/28, I had 99.03%. At noon on 02/28, somehow another QA audit showed up in my inbox. The reason why I distinctly remember this report is because 1) it was one of the last reports I did on 02/26 (notice it took 2 days to get to my inbox), and I laughed hysterically at what ASR put before I changed it during spellcheck (yes I did not catch it until spellcheck). However, I changed it during spellcheck, and lo and behold it never saved. This particular spellcheck no ...

Template Use Question
Mar 15, 2010

Can someone tell me how to use a template in word on consecutive pages?  I know how to use it for the first page but can't figure out how to use it for say, 50 pages in a row.  A doctor wants his letterhead used as a template which I have scanned in but can only seem to use it for the first page.  Some of his letters are only one page and some are two or three (which wouldn't use the letterhead) but the whole dictation might be 50 or so pages.  I just can't fig ...
