LOOKING UP NAMES AND ADDRESSES - iluvrainydaze47

Does anyone else ever have a problem with a doctor/nurse, etc. who sends out letters or just on regular reports who gives no complete names or addresses? We have a place to go look them up but it does sometimes take a chunk out of my time doing it. One or two minutes means a lot sometimes. I have one doctor who dictates letters to "Dr. Smith, Dr. Jones," etc. and there are only about 10 of each of those listed and sometimes you cannot tell what the specialty is to look it up. The problem is that I get about 5 or 6 of these in a row sometimes. I have just started putting in what I can figure out and leaving the rest alone. It's difficult because apparently the assume sometimes that you live in the same area that they do and you know these things. I type for an account that is in another state. I don't know the names of local businesses, schools, etc in their area. Sometimes you can figure out the spelling and sometimes not. I know we can leave blanks but the blanks can add up at times. Oh well....

[ In Reply To ..]I work PT at MQ and full time at another job. At my full-time job, if the person the CC goes to is not in the data base, we are to flag it for QA. At my other job, QA people are paid hourly and since we are on production, it's considered not fair for us to have to look up this info. Wish it was like that at MQ!
Privacy Laws - Oldie
[ In Reply To ..]You do have to be careful about privacy laws as they pertain to cc's you're not sure of--if the wrong dictator gets the cc, it is a problem. Honestly, with a name like "Dr. Smith" I would just use the New Function after a very brief search--if the wrong Dr. Smith gets it, this can spell trouble On a weird name, it's sometimes easier to narrow down.
You do need to check the Client Profiles, but most of them instruct the MT to use the New function. However, it is acceptable to send it to QA. If that's the only problem in the report, I can't see that going to QA unless you think they know something you don't. They use the same database as MTs and have the same links to physician name sites.

Can someone explain to me why, if I get paid by the line, I spend so much time looking up doctor names, facility names, the local burger joint, etc, but I don't get paid for that? ?? Anyone notice their W2 now actually says Nuance Transcription Services and no longer Transcend DBA Nuance... Last year there were lots of comments about our W2's (all of us, not just those who came in from Transcend) saying Transcend. I even wrote HR to see what was up with that. They never told us about the change to Transcend and certainly didn't mention the change back to Nuance. Oh well. Just an observation. ...

So, this being the most friendly and up-to-date board around regarding MT practices, can I get some opinions about the HIPAA 'privacy rule' and your doctors using patient names in their notes, clinic or otherwise. I am not sure how an HIM department can say to a physician how using a patient name in a transcribed report is not going against the Privacy rule in HIPAA. When do you capitalize departments? I have been in the biz for 10 years, and my current QA staff is giving me conflicting feedback on my capitalization. One QA manager is giving me errors for not capitalizing, the other is giving me errors when I do! There are a few doctors on my account that don't bother inputting the patient name into the demographics, don't spell it, don't give a date of service...they just say a name and start dictating.
