Time scheduler is driving me NUTS! - Mountainwoman

Posted: Dec 01, 2014

Where did they get her?  She has NEVER gotten an entry right on my time card!  Every time we have had technical downtime, she has screwed it up; adding the wrong times, deleting my punches, and replacing them with something she apparently made up.  I have e-mailed her specific times I worked, in a list format.  All she had to do was make sure it matched.  She can't even do that right!  We went back and forth in e-mail 4 times, before I finally gave up and made the corrections myself.

One day last week I had no work, so I waited the 6 minutes, filled out a Remedy ticket stating I would take PTO.  I got an e-mail saying I was "absent" for my shift, and when I checked TeamWork, she had deleted my punch in, and never added the 6 minutes, which is what I was waiting for, before adding my PTO.

Give me a break!  If this is all she has to do, why can't she get it right, even once????

you should be doing your own 6-min s/m - sereneone

[ In Reply To ..]
punch, it's in the drop down box of Project/task-work availability. There's no need for her to do it and you don't have to wait to add in your leave request.

Why should we even have to - sm

[ In Reply To ..]
anything at all to our timecards. That is THEIR job. My goodness, what it is exactly their job. I am not administrative assistant or timekeeper. I do MT/ME. More free work from me to them, I guess.

so, you'd rather waste time going back - s/m

[ In Reply To ..]
and forth with her via e-mail or over the phone than just make your punches, ESPECIALLY when you aren't working anyway because you have NJA!

Lots of people in jobs other than MT have to punch a timecard, it's not specific to just MT, whether it's in-person at a timeclock or remotely like we do.
And you wonder why MTs aren't given respect - x
[ In Reply To ..]
for being highly trained individuals. There's a handful right here on this board whose biggest concern is how they shouldn't have to punch a timecard because it's:
1. Beneath them.
2. They aren't getting paid to do it (hello, you won't get paid if you don't do it!).
3. There's someone else who can do it for them...after 4 emails back and forth and getting in a tizzy and still having it wrong and then doing it herself in the end.
respect - phatty
[ In Reply To ..]
The real reason we are not given respect we deserve is because the work can be done so much cheaper elsewhere, and that seems to be the bottom line, rather than quality or experience doing the work. Speech recognition did not replace what we would have made doing straight transcription, as the speech machines cannot adequately pick up the various dictators accents (and they are many), and even so-called English speaking dictators where the dictation is just awful. Maybe when there are not enough transcriptionists to go around, and many have retired, then there might be more respect than now.

Rest assured, their jobs will be the next to go - x

It's what MModal does. Step-wise changes. They couldn't tell the HDSMs that they were now going to be responsible for double the number of employees without giving them something, so they gave them the schedulers, telling them, "hey, no more messing with schedules and time cards!" Mark my words, in less than 6 months the schedulers will be gone and the HDSMs will be doing the schedules/timecards again.

And I agree completely with the above person who said that there's no reason for you to wait for your TSA to put in your 6 minutes. Put it in yourself with a note saying NJA, Remedy ticket filled out. Fill out the remedy ticket with your option of working later or PTO, and fill out the PTO request in Teamwork if you chose that option, then go about your day.

If your TSA can't get her act together, talk to you HDSM and complain.
In this case, I hope you're right. Our TSA is awful. - nm

TSA versus HDSM - Brenda

I was thinking the HDSM would be the next to go, because for the life of me I can't figure out what they do any longer? We need the TSA to get our paychecks and PTO.
HDSM job - x
[ In Reply To ..]
Interesting. I was thinking for a minute that they were in charge of client relations with the hospital...but it's entirely possible that is the role of the PC now. Unless their job is entirely with the client, they pass on the information to the PC, who informs the MT of changes to the client profile, etc. But now I'm not so sure, although if you look at the structure it looks as if the HDSM is the "boss" of the PC, and the TSA is below the PC because truly their job seems very simple and certainly doesn't sound like a 40-hour a week kind of job even if you're talking about 200 employees.

But then thinking about it the HDSM whenever I've requested information from her she always refers me to the PC because she doesn't know the client profiles, etc. Hmmm....now you've got me thinking. What is the job of the HDSM?
We do our own time sheets & payroll is processed by Ultipro - sm
[ In Reply To ..]
or whatever the name of the payroll company is. If we have an error on our time sheet we can't correct ourselves, the HDSM could address it at that point. I don't see how the TSAs warrant their salaries honestly.

TSA must be an old title. What is this position?

TSA and PC - x
[ In Reply To ..]
For you non-MModaler(s) who want to know. PC stands for Performance Coach, and TSA stands for Team Scheduling Analyst. They are new acronyms because every time MModal changes CEOs they always change the acronyms. I imagine long board meetings with nothing but acronyms and everyone in the room making $57/h and joking about how we're all going to read their emails and say to ourselves "?" I don't even know what my own title is anymore? MT...nope, transcribe maybe 2 reports a day. ME...that term was used like 2 CEOs ago so I'm pretty sure it's outdated at the very least. HDS (Healthcare Documentation Specialist)...is that what I am? Actually right now I'm feeling UME (unmotivated medical editor).
Titles - 4evrsolo

Thanks for clearing this up. It's hard to keep track of titles.

[ In Reply To ..]
The new CEO of MM was in a mtg with the HDSM, TSA and 2 PCs regarding DQS and DQM and the TAT as well as NJA and OOW situation regarding Xmas. Since they could only speak in acronyms, all you could hear was LOL LOL LOL when one HDS requested OT and another requested PTO.

I Must Be A Dummy - Phyllis

I certainly don't feel its beneath me to do it myself, but every step confuses the hell out of me. No matter which way I did it in the past I would get an overlap or yelled at. I am so confused by the Eastern/Central time and which way to enter anything. I thought you clocked out of Productivity and into Work Availability and waited the 6 minutes, but if you do that you have the chance of a job coming in and then you get yelled out for having multiple WA punches less than 6 minutes. If I manually put in the 6 minutes then I get an overlap. Now that they made the scheduler position, I think there should be a conference call training session, because some of us just aren't getting it. I keep getting told to read about it, which I have done ad nauseum, and I still don't get it.
Quick tutorial - x
[ In Reply To ..]
Here's what I do:

The minute I run out of work I clock out of Teamwork. I then watch that clock like a hawk. If I get a report within that 6 minutes, I clock back in and continue to work.

If that magic 6 minutes comes up, I immediately log out and then clock in to Teamwork and then immediately back out. That just created a punch that will show you clocking in and then clocking out within seconds of each other. Click on the little blue "clock" icon. A little edit box will pop up. Click on your clock in time and set this back 6 minutes. This gives you that 6-minute period of time that you want to show you didn't have work. Now, under "Project/Task" click the little down arrow to the right of the task and a drop-down menu appears. Clock on "work availability." Now enter a note for your TSA in the box marked "employee notes" and type in "NJA. Remedy ticket filled out."

Then you just have to log into Remedy and fill out the ticket with your option of either making up work or PTO. If you chose to make up work, you have nothing else you have to do (besides try to make it up). If you are requesting PTO, you'll need to go back into Teamwork. Click "Leave" at the top of the page. In the upper left corner there's a green symbol that looks like a plus sign that says "Add leave request" Click on that. The leave type will be MQ PTO Unscheduled. Now add your leave time in Central time zone (if you're in Eastern Time, just subtract an hour, e.g. if you are short 2 hours and right now it's 4 p.m. and your shift ends at 6 p.m., the time you would request would be 3 p.m. to 5 p.m.)

I hope this is helpful.
Thanks for the Tutorial - Phyllis

I'll give it a try when I am sure to run out of work at Christmas time. Much appreciated.
We have to do so much stuff unpaid, while we have - sm
[ In Reply To ..]
new TSAs who actually get paid to manage the timecards, so why are we still having to do it all unpaid? It really doesn't seem fair.
ugh - x
[ In Reply To ..]
For the same reason that the lady working at KMart doesn't get paid to walk to the back to punch in her time card, or the businessman has to submit his receipts to his boss after a business trip, or the church secretary has to fill out a time card by hand. I suppose you can choose not to fill one out, but I wouldn't expect to get paid if you did. Seriously people these things take less than a minute to do.

Personally, I'd much rather do it myself than rely on someone else to do it and get it wrong and then have to call payroll to get it fixed and have to wait until the following pay period for it to be corrected. I'd also rather do it myself than have to spend 5 minutes writing an email to my TSA and I might or might not get an email back, and then I can't approve my timecard at the end of my last shift of the pay period, so I send another email with the timecard correction on it, I still don't hear back but suddenly my timecard has been approved by my TSA without the corrections. Another call to payroll, time on the phone, on hold, finally reach a real person who tells me they'll fix it...you guessed it...next pay period.

A bunch of whiners on here, complaining about minutes of time doing their own timecard when it's something that all employees everywhere have to do. I'm so tired of all the whining and crying and poor me attitudes. Poor me! I have to log onto a web site, put in my password and click my mouse and I don't get paid to do that! Here...here's a penny...that's how long it took you.
The K-Mart lady does get paid to punch out - blah
[ In Reply To ..]
She is on the clock until she punches out so when her shift is over she walks from wherever she is to the time clock and punches out. At that point, her being paid ends. So, yeah, she gets paid to clock out. It's not that difficult.
And you get paid for your 6 minutes - x
[ In Reply To ..]
Thanks for making my point!
its not that hard - true stuff
[ In Reply To ..]
or even that time consuming. and its been a rule for at least the last 4 years since i've been back working at this hole. of all the things that are annoying about this place, i don't get why this is one of them. its very simple and only takes a minute or two. yes, we should get paid more. heck, we should be getting paid hourly. forget this cpl business. but i know that is the nature of this business. you know i complain plenty about the lack of a paycheck. but keeping my timesheet up to date and following their rules about it? pretty easy and so not a big deal. imho.
Did you read her 97-step process to simply - sm

6-min - Mountainwoman

I just found out we were able to do that. My old TSM told me were "not allowed" to make any corrections or additions to our time card on our own.

I'm so glad she's gone, but it would be nice to set up the procedures, knowing we are all coming from different TSMs who had different rules.
