Security - Nickname

Posted: Oct 22, 2012

I am looking into transcribing for a doctor from 1000 miles away.  I currently work in his office but will be moving.  He is concerned about the security of his files during transfer and also when they get on my computer...("How can I be sure my files are secure once they are on your computer?").  Does anyone have any recommendations/suggestions for this situation?

Thanks everyone.

Sounds like he has some "security" issues of his own. All you can really do is advise him that even working at home you still abide by HIPAA compliance and you should find a contract to sign for him, probably one online somewhere. Hopefully you have more than one computer in the house and you need to keep one for work, no kids, hubby, etc. As far as safety in transfer it would depend on how you plan to get files from him; either an FTP site or email them. Email you can encrept them or zip, both with passwords only known at your end to you and at his him to him or staff.

Good luck

I will cut/paste at the end of this the language I use in my contract regarding security. How you set up transferring files securely will be your preference. I use mydocsonline for one of my clients to get voice files to me. It's about $30/month. I use MPTools6 or MPWord6 to transcribe/transfer files back to my clients' offices. Another client uses the built-in encryption program included with their Olympus recorder to send voice files through email.

Each of my contract includes language to satisfy HIPAA/HITECH compatability:

Either party may terminate this agreement on not less than thirty (30) days' notice. Upon dissolution of this agreement, for whatever reason, all retained documents (paper or computerized) will be destroyed by the Contractor within 15 days except that invoices used as supportive tax documents will be kept.

Confidentiality: As a Contractor, it is my responsibility not to violate any confidence of the patient or their family through indiscriminate discussion pertaining to patients, their treatment, diagnosis, or prognosis. Erroneous and nonpublic information released by me shall result in legal liability. I understand and agree that all patient records and patient information are strictly confidential and will not make any disclosures. No paper documents held by myself for the Client will be disposed of without first shredding said documents. I will set up files and directories on computer(s) in such a way as to prevent unauthorized viewing, deleting, or copying. Said computer(s) will also be configured to prevent unauthorized use and will also employ security devices to prevent theft of said computer(s). No work shall be sent from the computer without it first being encrypted using a minimum of 128 bit encryption. No patient of Client names will be stored by myself in any form of database for use after termination of this contract. Transcriptionist will not maintain voice files or documents longer than 12 months unless otherwise stated.

All my clients are more than 1500 miles from me and we have never met in person.

Anyone Who Uses Your PC For MT Work, Do You Have A Security Program On It?
Jan 01, 2011

What I mean is,  if your company has any type of keystroke or time monitoring software on there. If you use your own computer for personal use and have banking records or other misc on there,  do you have a program that locks out the company software, only allowing them to monitor their own stuff and not yours?     Is there even such a program?    I need one.    Thanks. ...

Social Security Taxes
Jan 11, 2011

This is my first year to work solely as an IC.  I have been sending quarterly taxes in to the IRS using the form 1040 payment vouchers they supplied.  It has just occurred to me that I don't know if any of the money I am sending in is going to Social Security tax.  I am not sure how it is allocated.  I send in 25-30% of my earnings.  Can anyone with more knowledge about this help me understand?  Thanks so much!  ...

Is Security The Real Concern?
Feb 17, 2011

How of HIPAA compliance yields profitable partnerships? I guess a lot of emphases given to HIPAA compliance is truly justified, especially in the case of outsourcing. The thrust on confidentiality and security of patient records grows manifold when it's done across 7 seas. ...

A Matter Of National Security?
Sep 28, 2012

With the nature of world affairs and US relations such as they are, I can't help but think how wrong it is for companies in general, but specifically MTSOs, to be sending highly sensitive information overseas the way they do. It scares me to think about my social security number, date of birth, address, etc. being handled by someone who doesn't necessarily feel the sense that they must protect that information. Maybe instead of complaining about how much work is being offshored, we s ...

Social Security. HaHa! Tried To Apply-absolutely Frustrated
Dec 03, 2009

First, they took almost $300 off me back in the '90s because I didn't pay for a year.Does wages of $37 and payment of $2 to SS count? The following year, it shows no income. Okay, maybe I didn't work that year but I still had 40 credits then. Now, I tried to apply and they want my W2 for 2008 according to the online applications. SS called me today. They show no wages for me in 2005. Send a W2, but they do have 2008 and  i don't have to send that. They show les ...

Filing For Early Social Security/Working Part-time
Apr 07, 2012

Anyone here working part-time and receiving early Social Security benefits? I am considering doing this in the next year and wondering if anyone else is already doing so. Thoughts?  I've been working full-time since the age of 18 years and part-time before that, with only a 6-month period of time between jobs, but was collecting severance pay those 6 months. So, I really feel I deserve to get back some of the money I've put into Social Security over the last 4-1/2 d ...

New Physican Look Up For "security" Reasons??
Sep 12, 2010

I don't get the email with the FAQ's about 6.1 says that the new physician look up (that apparently they are getting a lot of complaints from MTs about) is because of a security issue with choosing the wrong doctor.  Well, I could understand THAT, but I don't see how this new slower way makes any difference in that regard....you could still JUST as easily choose the wrong doctor this way too.    The way they can and SHOULD address the problem of choosing the wrong ...
