Anyone use Microsoft Word 2007? I am having a horrible time finding out how to set up autotext.  If anyone knows, can you walk me through it.  I prefer the 2003 edition, but must upgrade..........Thanks!!!

I hope I read your question correctly and that the following makes sense.  First are instructions, then I copied the entire text, in case your Help button does not bring up the same information as mine did.

Add AutoText








In Microsoft Office Word 2007, you can add AutoText entries in the AutoText gallery.


Or, if you want to add text automatically when you type a few characters, you add text entries in the AutoCorrect dialog box.

Add AutoText from a gallery


To add AutoText from the gallery, you need to add that gallery to the Quick Access Toolbar. After you add it, you can create new entries, and you can migrate you entries from Word 2003 into the gallery.


Add AutoText to the Quick Access Toolbar



  1. Click the Microsoft Office Button, and then click Word Options.

  2. Click Customize.

  3. In the list under Choose commands from, click All Commands.

  4. Scroll through the list of commands until you see AutoText.

  5. Click AutoText, and then click Add.


The AutoText button now appears in the Quick Access Toolbar. Click AutoText to choose from a gallery of AutoText entries.






Create a new AutoText entry



  1. In your Word document, select the text that you want to add to your gallery of AutoText entries.

  2. In the Quick Access Toolbar, click AutoText, and then click Save Selection to AutoText Gallery.

  3. Fill out the information in the Create New Building Block dialog box:



  • Name  Type a unique name for the building block.

  • Gallery  Select the gallery that you want the building block to show up in.

  • Category  Select a category, such as General or Built-In, or create a new category.

  • Description  Type a description of the building block.

  • Save in  Click the name of the template in the drop-down list.


A template must be open to be displayed in the drop-down list of template names.



  • Options  Choose one of the following:

    • Select Insert content in its own page to place the building block on a separate page with page breaks before and after the building block.

    • Select Insert content in its own paragraph to make the content into its own paragraph, even if the user's cursor is in the middle of a paragraph.

    • Select Insert content only for all other content.

Migrate Word 2003 AutoText entries into Word 2007


If you used AutoText entries in Microsoft Office Word 2003, you can manually migrate them into Word 2007.



  1. Copy the Normal11.dot file to the Document Building Blocks folder by doing one the following:



  • If your computer is running Windows Vista   Open Windows Explorer, and then copy the Normal11.dot template from C:Usersuser nameAppDataRoamingMicrosoftTemplates to C:Usersuser nameAppDataRoamingMicrosoftDocument Building Blocks.

  • If your computer is running Windows XP   Open Windows Explorer, and then copy the Normal11.dot template from C:Documents and Settingsuser nameApplication DataMicrosoftTemplates to C:Documents and Settingsuser nameApplication DataMicrosoftDocument Building Blocks.



  1. In Office Word 2007, open the Normal11.dot template.

  2. Save the file as AutoText.dotx.


When prompted, click Continue.



  1. Click the Microsoft Office Button, and then click Convert.


When prompted, click OK.


The file upgrades to the new file format.



  1. On the Insert tab, in the Text group, click Quick Parts, and then click Building Blocks Organizer.

  2. In Building Blocks Organizer, select an AutoText entry, click Edit Properties, and then select the appropriate gallery in the Gallery list.

  3. In the Save in list, click Normal.dotm, and then click OK.

  4. Repeat for each AutoText entry that you want to use in Office Word 2007.


 


Add text automatically as you type


To add text entries that are inserted automatically when you type a specific set of characters, you need to use the AutoCorrect dialog box.



  1. In your Word 2007, document, select the text that you want to add automatically.

  2. Click the Microsoft Office Button, and then click Word Options.

  3. Click Proofing.

  4. Click AutoCorrect Options, and then click the AutoCorrect tab.

  5. Select the Replace text as you type check box, if it is not already selected.

  6. Under Replace, type the characters that you want to use for your automatic text.


The text that you selected in your document should appear under With.

The instructions don't tell you that. You're going to have to memorize the names you assigned to each AutoText or go to the dialog box to scroll down and select the one you want. Enter no longer works to insert entries, only F3. You are not going to be happy using AutoText in 2007.

The screentip that comes up when typing the first letters of an AutoText entry has stopped working - and since there is no screentip, the option to insert an AutoText entry into the document by hitting "Enter" is not available either.   I can go into AutoText and "Insert" it that way, and hitting F3 inserts the entry into the document from the screen, and all my entries are in there - it is just screentip and Enter that "broke."   This happened from one document to the next.  I ...

I type for 2 different companies using Inscribe.  I'm having a problem  because the fonts in the autotexts I put in never match the new company's font and I can't find any way to edit that.  There is a command for "edit with Microsoft Word" but I am afraid to try it in case it messes something up.  Is this how I would edit the font?  Would appreciate any advice :)  ...

Hello,  My company is using Word 2007 and we just decided to change the way we format our office visits. Instead of listing the medications in a paragraph form with commas after each medication we are listing them in a column and numbering them. Our problem is that when we get the dictations in our speech format they are in a paragraph. I recently started working at home using Word 2007.  I have put all of my shortcuts into the autocorrect feature and this has worked out wonderful for me and I am not looking to change that.  I do, however, need to find out how to BACK UP/SAVE that file!!!  I don't know what I will do if I lose all of this information! Yesterday I must have hit some sort of function key that turned on a blue box that surrounds information in header/footer and I have no idea how to turn this off.  Called IT,, must have been busy because they assured me that this box cannot be seen on completed reports.  Shut down PC and when restarted the blue box is still there.. what function key(s) would I do to make it go away, drives my eyes batty ...
