Hi, Does anyone have any tips on how to keep the providers organized? I have one provider I transcribe for who never sends his work and then says he sent it when he didn't. I don't have any problems with the other seven providers, just one. When he does send the work, he always says "this is lost dictation" or "this was dictated and sent a second time". This has been going on for almost six years. I take pride in my work and really enjoy it until I get his work. I always say I can't transcribe what I don't receive, but the office staff refuses to say anything to the provider. Any tips?

The fact that the office staff refuses to address this should tell you something. They know this guy is an obnoxious prima donna who blames others for his own failings. The reality of working with him in the flesh is far worse than you experience from a distance. They are probably afraid to cross him.

His comments on the tapes are verbal abuse. He does it because he thinks he can get to you ... you are his captive victim. He us a weak man who feels like a big shot by victimizing others.

My suggestion is to just stop feeling that this is a reflection on yourself. It isn't. The office knows that. Just do your job the best you can and ...this is important ... do not listen to his abusive comments on the tapes.

When you listen and take it personally, he gets what he wants, which is for you to feel angry, upset, or belittled. If he can yank your chain hard enough to cause you to complain, cause a stink, or quit, so much the better.

Just don't listen. He's pathetic.

Saying that something is lost dictation or that it is being dictated a second time is not verbal abuse and not even necessarily directed at the MT. He didn't say who lost it, maybe he thinks he or someone else on his staff lost it. Maybe there's a technical issue with his equipment, has anyone checked? It hardly makes the OP a victim, and how do you know he victimizes others; you've never met the guy. Not to defend anyone's behavior here, but you're blowing it a bit out of proportion.

Not doing his work is negligence. Blaming her is abusive behavior. Blaming her in the dictation is verbal abuse.

I am not sure what you think verbal abuse is. Do you think it is only yelling or cursing? It is more than that.

The OP didn't even say his tone was harsh, and even if it was, it was just frustration coming out. I can't even fathom this being verbal abuse, unless he directly called her an idiot, incompetent, ninkumpoop (sp?), dumb, useless, etc.

I don't think a confrontation is needed, but she does need to directly talk to him, since she has not had results elsewhere. (Confrontation means you're going in with your back up and claws out.)

There are ways to do this without being confrontational. You can simply say, "Gosh darn, I don't know how these dictations are not getting to me, but maybe we can try to work out a system so we can troubleshoot the problem."

This is not directly accusing him of not dictating, but you are making it very clear that you are not receiving the dictations.

Also, if I were you, I would not delete any dictations after you've transcribed them, if that's possible. You could then show him everything you transcribed that day, against what was in the system.

Good luck! Don't start a "poor me, I'm being abused" thing, that's just childish in this situation. I don't think you're doing that, but it would appear others would be ready to sue the guy for expressing frustration.

Sorry, confrontation was the wrong word choice, I just mean speaking to him and trying to solve the problem.
"This is lost dictation" or "This was dictated and sent a second time" in no way constitutes verbal abuse. I do transcription quality assessment and when I hear a provider say something like that, I try to find out what is going on; many times it is a technical or equipment issue. If he were accusatory and saying, "you are losing my work," or name calling, yes that might be considered verbal abuse. We had one provider who used profanity when he dictated; not under his breath, but loud enough that it could be heard in the dictation. That did meet with disciplinary action from administration. The OP's provider might be commenting on the lost reports and having to re-dictate hoping that someone picks up on it and tries to do some problem solving. It's worth looking into and would be a win-win situation for both parties if the solution could be found.

Someone here said verbal abuse is "more than being fresh." At first, I thought she meant "way more, like being horrible, name calling, etc." Then she/he went on to say things that are possibly annoying, rude,or impolite--but legally, I doubt it would be considered verbal abuse.

What the poster meant was that in her mind, verbal abuse is "less than being fresh." Last I heard being annoyed or frustrated is not abusive. Nor is rolling one's eyes. Perhaps that's her office's way of keeping everyone in line, so things don't escalate, but you'd look pretty silly suing someone for rolling their eyes. "She rolled her eyes at me and I'm scarred for life." This sort of thing minimizes true abuse and is offensive to someone who is truly being abused.

Get a grip, people. Seriously, if you feel abused because someone rolled their eyes, showed some frustration either in voice tone or body language, then you need medication. So I guess you've never rolled your eyes at a spouse or family member? I guess you should be taken in for abuse.

I will grant you, it is VERY annoying and condescending to have someone roll their eyes at you, but I think we don't need to put such a strong lable on it.

Yes, expressing disdain through eye-rolling, "tsk"ing and other noises, and other rudeness is considered inappropriate. It is prohibited by the behavioral standards policy and employees who violate it are disciplined. If it continues, they are terminated.

My point was that it is not considered abuse. It's "organizational" policy, which is fine. It keeps things from escalating, I suppose. But if someone is going to get sued or fired for the legal definition of abuse, that would be a problem under "eye rolling" or "tskng."

I had an eye-roller where I worked one time, and it was incredibly annoying, but I didn't feel there was any "abuse." Just made me not want to work there, but suing her didn't even enter my mind.

So let's take "abuse" out of that equation. I've had dictators dictate into my ear, "can't you people get this straight?" That's still not abuse. Sounded to me like he was just trying to get a point across that he otherwise wasn't able to.

The person who thought this was verbal abuse never mentioned confronting him or suing. She said to recognize it for what it is and ignore it.

Those of you who don't think it is abuse are the ones recommending confrontation and bringing up suing.

Sorry, but when some doctor has a 6-year pattern if not doing his dictation and then dictating that it was lost again and again, and the office won't deal with it, he is the problem.

If you don't think this fits abusive behavior, you need to educate yourself on what constitutes abuse.

Where I used to work physicians would say that all the time when they were in jeopardy of being suspended for incomplete charts.

Some of them really thought it was missing dictation and some of them just forgot to dictate. We did not take it as abuse though. I personally think its petty to get so bent out of shape about this. I'm willing to bet the people in that office know full well this man is not dictating like he should be and I highly doubt they are blamming thr OP, considering none of the other physicians are having problems with their dictations.

I did not say there was nothing wrong with eye rolling. In fact, I said it was annoying and condescending, or words to that effect. But it doesn't mean it's abusive.

I brought up suing, because people here are using legal terms that are NOT appropriate here. Verbal abuse/abuse is legal terms and should not be thrown around willy-nilly.

I could not stand the eye roller, but I had a choice to work there or not. In a gazillion years, I would not sue an eye roller, for crying out loud. That's just over the top and minimizes someone who is truly being abused. But it doesn't mean I thought her eye rolling was okay.

First off, I don't think this is a high drama situation as the one poster seems to think it is. It's not abuse,unless he's really being fresh, and it doesn't sound like you're seeing it that way,either. I think the other poster is a wee tad sensitive?

That being said, I would keep a log of everything you transcribe and what time you transcribed it or what time it was dictated. It's not proof that he didn't dictate it, but it's proof that you are organized and on the ball.

Blaming others is inappropriate. Blaming others in speaking to them, even if it is recorded, is verbal abuse.

My facility has a policy that includes this definition, among others. We do not tolerate any form of it from any staff, including doctors. We don't even tolerate disdainful or exasperated looks, like eye-rolling, or body language.

OP's post. It wold be different if he was screaming at her "YOU lost my dictation!!!" According to the OP, he said "This is a lost dictation." Or "Redictation" It is not unusual to hear a doc say that if they are having to redictate a note & some say it to cover their hinnie.

It's not abuse because he is not directly pacing the blame on her. It may even be protocol or his way of trying to explain why his dictation is so late making it to the patient's chart.

Yes, I have some tips. If the office staff are not involved in the transcription process, they probably do not want to get involved; I would say that is the office manager's job. As you are the person doing the work (and listening to him complain), it might be up to you to speak with him. Try and find out what he does when he dictates to see if you can determine what is causing it to get "lost." If he uses a hand-held device, maybe he does not activate the "talk" button. If he has a headset, maybe the batteries need replacing. Sometimes docs need some in service on dictation techniques. Maybe he forgets and thinks he has done the dictation when he hasn't. Don't take it personally and don't think it's your fault, he's venting his frustration at having to re-do his work. Confrontation is difficult but might be worth it if it solves the problem and you no longer have to listen to him gripe about "lost" dictation.

I'm thinking he loses track and skips a chart every time he gets up to see a ptient or take a wiz. Problem is his arrogance will not let the people around him help with a simple system such as a list of the charts he is reading that he can check off as he goes along, or whatever.

In other words...he's not going to change. Frustrating. He can't tie his shoes, but YOU'RE the stupid one, right? They say geniuses are like that...they also say geniuses teeter on the line of sane/insane.

I would charge the crap out of him and let him complain. Chances are he can't keep anyone for long and he knows it. And should he get someone else - what are you really losing?

If this is an EMR system, there may not be any charts to skip. If it is a point and click list on a computer screen, it is easy to click on the wrong patient name and have it end up in the wrong record. It would also be possible to skip a name or two if he gets interrupted a lot and forgets where he left off. Arrogant? Maybe. Extremely busy with very little time to work on patient records and dictation? Extremely likely. Hating to dictate? Also extremely likely. Unorganized? Probably so. How do you know he can't tie his shoes? He never said the OP was stupid, you are blowing this way out of proportion. The OP has been with him for 6 years, so keeping staff long term does not seem to be an issue. What is she losing? Probably a good job over what is probably a small matter.

Doctor, you only read the post & went completely off the deep end. Sounds like she started this thread because she is annoyed with his poor dictating habits and complaining, but she did not elude to feeling abused by him in any way....you should really settle down.

Dont sweat it. The office staff know you are doing your job, so it's him not you. If they were to get a visit from Joint Comission and get fined, it would be on them, not you. You are obviously doing your part; the other 7 providers have their dictation. Is he sending it properly? It's possible he could be doing something wrong, either that or just not dictating. Puts me in the mind of those doctors that dictate on 5 or 6 patients under the same MR#, playing catch-up because they allow themselves to get so behind.

If you know the hospital or facility they work out of, how about sending them an anonymous note/letter telling them just how lousy they come across --how they are complicating YOUR job, taking food out of your mouth--by their constant jibberish? Last but not least, how they are compromising patient care by their don't-care attitude.

Of course she knows them, she works with them and she is not talking about him being a lousey dictator, she's talking about him *not* dictating or either dictating and sending ncorrectly which causing his dictation to get lost.

She has already spoke to the facility and they are fully aware.

I'm starting with a new company next week.  My Windows 7 PC has Office 2013 Professional.  The new company's platform is only compatible with 2010 or earlier.  I don't have the money to spend on 2010, so I'll either have to decline the offer or try to find a way to install 2010 cheaply.  I thought I might be able to download a version for free, since it's not the newest version, but it doesn't look like I can do that.  Any ideas? ...

Any advice on how one would go about getting into a doctor's office/clinic office.  The classifieds locally do not seem to post jobs for offices and the websites for the hospitals are for jobs within the hospital.  There must be a way I can use my transcription experience to get a desk job doing the phones and appointments and maybe a little transcription at a pediatric/orthopedic/whatever office.  I have been without a contract for 4 weeks and I have a few little pick up job ...
