Samples - Need to know

Posted: Aug 26, 2010

I have been doing some new accounts recently and I have requested some sample reports, which I have not gotten.

Recently on a QA report I was told "be careful - you are missing some things" .   I asked for examples and I was told copies were not made.   Is this normal?  I am new with nationals.

I know I do make mistakes.  But realisitically how can I improve if I am unable to view reports and cannot view my mistakes?

When this started I assumed my lead just did not have the time to send samples-now I am not sure of the motiviation.

Is this a reasonable request?

Yes, it's pretty normal not to provide sample - Poppy

reports for a couple of reasons. The main change has been the new privacy laws. Unamended samples would be reports for patients you have no reasonable need to access and thus should not be just sent out. At this point, also, reports are never e-mailed, although that'll probably change before too long. I remember the early days when I just printed out my own samples and kept them in file folders. Not any more! I probably wouldn't do it even if I could print them, which is blocked. Officially, at least.

Now, your supervisor could take those samples and erase all ID before sending them to you, but that would take probably more time than would be reasonable for most people.

Also, typically skilled MTs are expected to work on their own without this sort of support and we make up our own samples in the form of templates for dictators, notebooks with lists of terms, blocks of text saved to expanders, etc. (In the process getting faster too.)

Do you have on-screen access to other reports by your dictators? Need to look up terminology is mercifully still an officially legitimate reason to go into them. Although, in an attempt at privacy regulation compliance, one of the hospitals I work for tried blocking our access to all reports except the one being edited, even past reports for the same patient, I'm happy to say that didn't work out and didn't last long.

BTW, we all need to understand the privacy regulations as they apply to us. Hospitals and MTSOs are being forced to take them very seriously. In most cases where we MTs might find ourselves questioned on a privacy issue, simply understanding why the questions are being asked and thus knowing how to explain what and why we did what we did (and what NOT to say) will be the key to putting questions quietly to rest.

I currently work for two MTSOs, and they routinely provide samples and templates. I think your request is perfectly reasonable, and I'm surprised that you got that response.

I think its not only a reasonable request, but I dont know - how they expect MTs to learn difficult - sm

or ESL accounts without them. They can QA me til they're blue in the face, but it's not a very reliable or cost-effective way to learn an account. Samples make it much easier. Also, the they can be posted once on their website for reference, and that's it. QA people, however, are paid for their time. They would have a HE11UVA lot less to QA every day, if the MTs had access to a well-stocked sample-folder for each dictator.

I work for a national and they provided samples so I don't think there is anything unreasonable with that request.

How Do You Get Samples?
Dec 08, 2010

How do you go about getting samples of dictations?  There is nothing in the repository and no sample reports by other MTs when I go through Documanage.  These are the worse dictators in the world.  I type a few words, leave a blank, etc.  When I send them to QA (and get docked) they manage to fill in a couple of blanks and that's it.  I have requested samples from my QC and have received no samples or even a response from her.  Who else can I ask?  I belie ...

Report Samples
Jan 30, 2010

How difficult is it to input samples in our repository?  What good does it do us when so many docs don't have anything in it to view?  I'm so sick and tired of getting mumbling dictators without any report samples to view.  At least with a sample, you have something to compare the mumbling too that might make it easier to understand.  What else is QATL doing these days besides audits?  Shouldn't that be their responsibility to ensure there are samples ...

How To Access Samples
Dec 09, 2010

DocQmanage: When you log onto DQM, add "dep" (no quotes) behind your ATP number. That will take you into a DQM area where you can search the MedQuist database by dictator, account, and the area from which you want to draw a sample, e.g., operative report or clinic (numerous specialities). The first time you use this area of DQM with the dep marker, you must have called customer support to allow access. Hasn't your CCM told you about this or is it reseved for certain MT levels? New Account And A Lot Of Dictators Don't Have Samples Yet...
Jan 14, 2012

Oh I will be so glad when they get all the hard dictator's samples up.  Some of those ESL ones you can't make out a lot and when you don't have a sample to go by it is very difficult.  They are working steadily on getting more and more up though so I can't complain, but I would have to get the ones who don't have samples up yet tonight.  Nothing to do but leave blanks and send it to QA.  ...
