Template use question - alyjak

Posted: Mar 15, 2010

Can someone tell me how to use a template in word on consecutive pages?  I know how to use it for the first page but can't figure out how to use it for say, 50 pages in a row.  A doctor wants his letterhead used as a template which I have scanned in but can only seem to use it for the first page.  Some of his letters are only one page and some are two or three (which wouldn't use the letterhead) but the whole dictation might be 50 or so pages.  I just can't figure out how to do this.  Any help would be appreciated.  Thanks!

save the document letterhead as RTF - and insert document

for each new patient that needs a letterhead. I assume from your question that he wants one Word document to hold all patient reports that he dictates on.

Save the LH as RTF (rich text format) so the LH preserves its formatting. When you need a new letterhead inserted, go to the menu bar, choose "Insert document". You can automate it by assigning the action to a keystroke command, but you need to know this part before moving on to that.

Do watch your pagination in header/footer to make sure it doesn't carry over through the entire document, otherwise you will have to number the document differently w/o the use of header/footer.

Ok, I saved it as rich text format but I can't find anything that says "insert document". Where is that?

In Word on the menu bar - Insert

Open Word.
Look at menu bar that shows:
File Edit View, Insert....(unless you have 2007 version, yours could look different)

Click Insert, scroll down to File, a pop-up box opens and you chose the directoy and document where you saved the RTF document.

Thanks so much for your help! My only problem now is that it doesn't insert the bottom portion of the letterhead even though it did save it. Any suggestions for that? Thanks again.
Are you working with a full picture of the scanned - SM

Letterhead? If yes, are you inserting a 'picture' in the document and trying to type over that? What is the 3-letter extension of the file you are trying to insert (not the rtf)?
it is a .doc file - alyjak

It was sent to me as a .doc file. I saved it as rtf. It seems the bottom of the file appears in light gray letters where you can't click on it.
Headers and footers show as dimmed (light grey) until you - SM

activate that area. Can you hit Alt+V+H and open the header? Then hit the down arrow to get to the footer?

This should have been sent as a dot file (template), not a regular doc file, but you can save it as a template now. There is no need to save it as an rtf file.

I thought you mentioned that you scanned it?

I recommend you go to ProductivityTalk.com - and insert document

Place the letterhead in the Header of the template (.dot file). - SM

This kind of document gets messy to work with. If the letters are one page only, the scanned letterhead will be in the header section and will follow each new page. When you have a second and third page, you need to insert a Next Page section break at the end of the previous one-page letter and change the header page layout setting to Different First Page so the header will not follow subsequent pages. Then insert another section break when you need the letterhead again. You can add the letterhead to AutoText to insert easily in subsequent sections. You can even record a macro to go though all of the steps when switching.

The messy part comes if you do not do the layout in the correct order and your headers get all out of whack. Look up section breaks in Word's Help file for more instructions.

question about footer - alyjak

[ In Reply To ..]
I think I have this figured out finally but how do I get the footer to not repeat on every page? I saved the footer into my autotext which works but then it repeats to every page even if I don't want it there. Thanks so much for all of you help, I never would have come close to figuring this out on my own.

Did you go the the layout page and check Different First Page? - SM

[ In Reply To ..]
The header and footer don't continue to the next page with that setting checked. You can set the Different First Page in the header/footer toolbar. Do that before you insert your header/footer. If you insert the header/footer first, it will wind up on the next pages and you'll have to delete it.
I checked it but it still repeats - alyjak

You really need to go to Word's Help file for instructions on this - SM

because we can't tell the exact steps you are following. The help file will explain exactly what you need to do to have different headers/footers between multiple section breaks.

Template Use.
Dec 11, 2012

The company I work for no longer allows the MT to use their own templates.  They took the templates we had, gave them to the client, and their staff either made extreme changes or threw them out and wrote new ones.  Of course, the new templates never follow what the doctor says because they don't hear what is being dictated on a day-to-day basis.  I waste tons of time editing and now I only get paid 0.01 for those lines.  That turn ...

Making A Template With Word
Jan 13, 2010

I've been messing around with Word a bit the past few days, trying to figure out how to make a "jump" function, where I can put a symbol or letter, number, etc. in certain places of a master document so I can hit a control + letter key or whatever and have the curser jump to that particular symbol/letter.  I track all of my document IDs and Job IDs and I'd like a master to use every day so I can avoid all the tabbing, entering, etc.  Throughout the day, the first 3 numbers of ...

Question About Nuance Policy On Qualified (template) Lines
Dec 03, 2014

I was originally with one of the ambulatory groups that came through the back door of Nuance.  Our old ways of doing things have slowly been phased out since Nuance acquired us.  Currently I get 8.5 cpl for standard lines and 1 cpl for qualified (template) lines.  I haven't gotten the email about the video yet, but I've been reading on here about the new 7 cpl rate. What about template lines? Does Nuance pay for template lines? Thanks...  ...
