ADVICE NEEDED RE: GOING DIGITAL - Tired of Driving!

Not sure if I have the correct board, but I am looking for advice on how to get my doctors to go digital.  I currently transcribe for a small group of doctors who use tapes.  I am trying to figure out an inexpensive way to get them to go digital.  It has to be a relatively user friendly method since they are very busy and will not want to take the time to learn all kinds of new stuff.  They also will not want to spend a lot to convert to digital.  I currently have ExpressScribe, so I know that I can download and type from digital files.  I also have an FTP site to which I am pretty sure digital voice files can be uploaded for me to then download.  Does anyone have any advice/know of the proper equipment to purchase so that the doctors can easily dictate and then plug into their computers to upload the files to me?  I have looked at several websites and equipment, but I am not especially tech savy and could use some advice from someone who has done this or knows what to do to make this happen.  I would very much appreciate some help.  Thanks in advance.

My doctors went from tapes to digital. They chose their own recorders, which can be done inexpensively, Olympus for $80 to $90. I have some docs who upload their own to my FTP site, others just hand their recorder to office staff at end of day to do it. It takes only a minute to upload. I provide link to them for my FTP site. I would suggest you print a page from a manual from a digital recorder (on internet probably) and give to office manager, showing them how easy it is to do. You can either e-mail back completed file or upload to your FTP site, whichever they prefer. Do you know stores are no longer even selling transcribers. They are becoming obsolete, so these doctors need to be told that as well and update with technology. Also, I let them know if I am out of town, I can have my laptop and still get their dictation and do it not having to pick up tapes. Almost all offices have Internet now so they should be willing to do this. It's really the office manager you have to get on board more than the doctor. Good luck.

Thanks so much for the reply. So are you saying that you don't knee any special software? You can just record on the digital recorder and upload the recording to any ftp site? I thought that some type of software would be necessary on their end. Thanks for the help. It is much appreciated!

When the doctor purchases a digital recorder (cheap is not the best) it usually comes with software that enables the recorder to communicate with the computer. The recorder can come either with a USB cable to plug into the computer and the recorder to send files from the recorder to the computer. A more expensive model may have a charger box the recorder can be set into and can be programmed to automatically send files when dictation is completed. But you can't just have recorder to plug in to a computer.

The only difficulty you will have if you're using an FTP site is that somebody at your client's office has to be "in charge" of sending you the files. Someone at that office has to do this for you, they have to know how to use the software that comes with the recorders to "forward" the files to your FTP site. That's where most MTs with their accounts can have problems, if there's no one in the office that wants to/knows how to work with software and files. Check out Olympus, Sony, etc for their digital recorders and read some info about how this works. Believe me, they will ask you every question that's in the product handbook before they can be up and running. Also, there's the setting up the recorders for each doctor for date, their name, priority folders, etc. You really need to learn this before you offer them a recorder option. At this point you become the "help desk" for all things digital. Even if their office has an IT or techy type person, the world of digital dictation is not know to most.

You can download the handbooks for most recorders as a PDF. Depending on the recorders they buy, you will need this reference. There are so many parts to this that you should be able to understand--like do they want their files "automatically" deleted from the recorder once they're uploaded? No! And the big one, do they want to save the dictations on their hard drive as well before sending to you? Yes! That's the only guarantee you have if files are lost. But there are tons of settings for this kind of thing. Also, if they're asking you for recommendations about recorders, there are so many choices and price ranges. You should really become familiar with this to walk them through the process. If they totally don't need your assistance, that's great, but most offices kind of depend on their transcription service for this type of support. Best advice in a short space.

My two clients do exactly that. Just plug it in via USB, and the computer recognizes it just like a flash drive, and the audio files will be in a folder on the "drive." From that point, they can transfer the files (via drag and drop) to their computer, and then e-mail the audio files to me as attachments, or upload them via FTP.

Not to be contrary or anything... but it really doesn't have to be complicated.

Exactly the point I was trying to make "it does NOT have to be complicated" because it is not. Once everyone involved realizes how easy it is.

But above post made excellent point to make sure they keep the voice files on their computer until they know you got them okay. But it is NOT complicated for sure. FEAR OF THE UNKNOWN. Teaching old dogs new tricks (lol)....

If only these docs could realize how obsolete tapes are. As I posted above, I could not even purchase a brand new microcassette recorder, told by Office Depot they are not going to carry them any longer.

My advice, tell the client how easy it is.

I was just fortunate that three docs I type for uploaded themselves to my FTP site link I provided. Only thing I got involved with was volume control at their end. The doctors upload themselves (once they realize how darn easy it is, even from home any time of day which they like). Another doc I got, their office completely familiar with it already and just uploaded to my FTP site, BUT you make a good point. The files did not come through a couple of times (not uploaded in proper DSS format). They FORTUNATELY were saved on their computer and were able to upload to me in MP3 format which worked, but for the most part we all use DSS format. People are afraid of the unknown, but once they realize how easy it is, should run very smoothly. Most save the voice files as you say on their computer so we don't ever lose the voice files. I NEVER delete a voice file until I have it saved and sent, even then save till end of the month in case of any questions. I have not had to help any of my clients, they did it themselves, so I was lucky I guess. Only helped as I said, with volume control at their end.

Whoever downloads the work from the recorder would have software that came with the recorder. I bought an Olympus recorder years ago so that software can download recordings, though I only download NOT upload. You should not need any software on your end, just the FTP site, and whatever driver you need (I use ExpressScribe) for your foot pedal. Your player just has to be compatible with the file type they upload to you. They upload, you download. They merely plug in the recorder, choose a folder to download the files to then upload to your FTP site. Most drivers are free from manufacture web site, but if you don't have the recorder you shouldn't need software for it. My subs type my client's files. My client uploads to my FTP site and I and my subs download to ExpressScribe player. You can select in ExpressScribe what kind of files to transcribe, and even automatically load from your FTP, but I did not like doing that, prefer to load maually. Hope this helps. It really is VERY easy for all concerned.

Anyone know of a machine that will convert cassette dictation tapes to digital format?  I do work for a doc who uses tapes (he doesn't want to convert to digital).   It's a good job, but I'd much prefer to transcribe using Express Scribe instead of the cassette machine.
