Misunderstood in e-mails - TT MT

Posted: Sep 23, 2010

Hi everyone:)  Have you ever felt that your e-mails were completely misunderstood by a supervisor?  Recently, I sent an e-mail explaining myself about something that came up, but the answer I received was totally the opposite of what I had tried to explain, and I just sat here shaking my head, and thinking "what just happened."  It made me look like I had deliberately said something that was untrue and tried to cover myself, which was not what I meant to do.  Rather, I was trying to explain why I had done something, but it never came out that way.  This is not the first time this has happened, and I am always careful with my e-mails.  Another thing that happens is when a supervisor or TL wants you to follow certain instructions, and you e-mail back, explaining that you understand totally what they meant, but then they go ahead and re-explain the whole thing again, making it seem like you don't have a head on your shoulders.  Hope all of this makes sense, because today is one of those days I would just like to run away!!!

I do understand; it has happened to me. - sm

E/m is much easier to misunderstand than just talking face to face or a phone call. I think some of these TLs are so overworked they actually DO miss the point too. I might add that my old eyes had a very hard time reading your e/m with the light color print on the green background.

Thanks for the reply. - TT MT

It was the first time I tried to use a background color, but that was a mistake:) I think you are right too, but I think some people don't try to actually look closer at what someone sends by e-mail. Thanks again!!

Any e-mail can be misinterpreted, but some people - Pragmatist

are just emotionally programmed to suspect, and expect, bad things of others.

I (briefly!) worked as an editior in a company whose owner structured the entire company to keep people under tight control so they had minimal opportunity to cheat her, or otherwise cause problems. A dictator (insurance investigators in this case) who wanted to add a paragraph to a report I was editing (we rewrote them to professional levels for mostly ex-cops) had to submit a request to his manager for approval instead of just walking over to my desk and doing it. Even though all completed reports went through the investigations department manager for approval anyway. I kid you not. Turns out she believes they do this sort of thing to speed up report processing to get paid faster, even though they were making professional-level incomes and probably not living paycheck to paycheck. Creative misinterpretation to confirm the worst she always expected.

I'm too old to get excited about this stuff but did find the entire setup insulting to a genuinely fine staff, besides inefficient to a silly degree. Very interestingly, though, as a result I read up and found that people of that personality type do NOT like people less even though they don't trust them and always manage to find faults in them--ergo, lots of misinterpretation. This was a big surprise, because I assumed that person who has such a low opinion of people in general must despise them, but no. So, go figure. And go ahead and like her if you can, but be careful.
Ive also found that even in speaking face-to-face, - its not always EZ to communicate. S/M

I think people think and communicate on different "wavelengths". I've had communications with people where I knew we both had the same background, intelligence, training and experience. Yet whether written or spoken, neither of us ever seemed to "get" what the other was trying to say! Once we finally recognized that, after having a good laugh about it, we each tried to communicate a lot more carefully, leaving out anything that might be misconstrued. It worked wonders.

I think it's the same with teachers, too. Different individuals can teach the same subject, and some I totally get, while others leave me scratching my head!

The same thing has happened to me, too. When - 99% of the population understands -

my e-mails, and yet supervisors repeated do NOT seem to understand them, then I know it's not just a coincidence. Maybe that's where they supposedly "earn" their big bucks... their ability to twist people's words and use them against them. And of course, I get the the condescending remarks and repetitions, just like you describe. I think that's supposed to discourage us from further communications with them, which they feel "wastes their valuable time."

I've got news for Management: "You waste MY valuable time."

Thanks for the reply - TT MT

Thanks for the reply..it made me feel better, but this has happened a couple of times with the same 2 people, but your reply made complete sense to me and I think it would make anyone think twice before asking questions, particularly some kinds of questions, so thanks again...

I understand your message here, but don't agree with your conclusions or attitude - nm

Rudeness is what weak people use for strength. - Even in E Mails.

I have written numerous e mails to account managers in my company asking a question or requesting instructions, and I often get an answer that had nothing to do with the question at all. I have received rude e mails simply because they had to take the time to answer, no matter what the subject matter.

It really burns me up when we receive mass e mails from AMs stating how busy they are with training, clients, QA, how much they have to do, and how many e mails they receive. Hhmmm.....this is their job. Do you hear us complaining about how many reports we receive to transcribe? All the research we have to do? All the useless e mails we receive daily?

If I have to write something negative in an e mail, I try to be very clear about the point I am trying to make. I then usually follow that by saying something funny or pleasant to make clear that my personal attitude is not negative in trying to deal with the problem.

MTs, management, and QAs at any company can make life a lot easier with simple clear and concise communication. There are those who are always just waiting for the opportunity to say something rude or insulting in an e mail. They thrive on it. They have very poor communications skills and should be avoided and, if necessary, told why.

rudeness - tsoh

Years ago, we had an office "manager" who was an extremely rude, hostile person. When she did not know the answer to a question (often), she would be condescending and answer with information that that had little to do with the question being asked and get progressively more hostile if re-questioned. Emails that don't answer the question might be because the so-called "authority figure" does not want to admit they don't know the answer.

Misunderstood Or Confusing Dictation
Jan 31, 2011

I am currently in my last quarter of schooling and have a project I am currently working on. My instructor wants me to research the different ways of how to handle dictation that cannot be understood or is confusing and also how this procedure differs depending on work environment, such as on site, at home, large service, etc. I have talked to a few transcriptionists and some suggestions they have given are; speeding up or slowing down the recording, looking to see if the word makes sense accor ...

S.O.S. E-mails On Weekends
Dec 15, 2013

Why are we always expected to work extra and catch up on overdue work on the weekends that builds up because there's not enough coverage? Here's an idea:  schedule and/or hire the appropriate number of MTs to cover those two days instead of asking us to make it all better when the weekend panic mode sets in, which is every single weekend lately.  Of course in order to attract weekenders, that would entail actually paying a living wage a ...

What The Heck Are All These Ticket E-mails About?
Aug 10, 2010

You have to do the QCare thing when you get NJA.  Then, they send you a ticket number.  Great.  What do you do with the stupid ticket number?  Are you entered in a drawing?  Do they pick random ticket numbers and award the winner some work? Then, days later, you get another e-mail saying it is resolved? What the heck is that about?  Who resolved what?  Did the QCare staff magically send me work?  Do they get some award off of my ticket number for the fast ...

Do You Get Endless E Mails From Your Company All Day?
Oct 08, 2010

It really gets ridiculous.  Some are important and MANY are not.  Some are ridiculous.  You have to read through them all in case there is something important there.  As for the remainder, I wish they would just write 1 e mail at the end of the day covering all the garbage that does not even apply to everyone.  I hold my tongue (or replies) to the rude e mails that are chastizing to just a few MTs, but are sent to everyone.  I wonder how they would like it if ...

Supervisor Ignores My E-mails??
May 11, 2012

I am new to this MTSO so I have occasional questions and have directed them to my supervisor.  Some get answered, many get ignored.  I have asked some more than once.  How frustrating.  I'm not sure how to take this.  I would think it would be to her advantage to answer them as it refers to formatting, etc.  Maybe I should ignore her requests to work extra hours?  How would you handle this?  It really makes me wonder about this company. ...

NJA + Nasty E-mails (warning Vent)
Nov 27, 2012

I understand that the MTSOs sign contracts and promise tight TATs, but when an account has had the dreaded NJA at multiple times of the day, then why send out an e-mail stating that we need to keep the account within the 24-hour turnaround or the company will hire even more people for the account.  The account cannot possibly be out of contract if there is no work available.  These e-mails just prove that the MTSOs overhire and don't give a damn about whether the current workers c ...
